Purchase & Cancellation Policies
Odylic S.A.S. (RNT No. 209436 – Ministry of Commerce, Industry and Tourism) is a boutique travel agency specializing in designing tailor-made journeys in collaboration with a trusted network of local operators worldwide. For this reason, specific booking, payment, and cancellation conditions may vary depending on the destination, provider, or experience selected. Below you will find our general policies. The specific terms applicable to your trip will always be clearly outlined in your proposal prior to confirmation.
Terms & Conditions
Each journey is unique, and therefore payment terms, modifications, and cancellation policies may vary depending on the providers involved in your itineraryThese specific terms will always be communicated in your proposal before confirming your trip.
Reservations & Payments
An initial deposit dis required to secure your booking. The amount and due date will depend on the providers involved. The remaining balance must be paid prior to departure, within the timeframe established by each provider (typically between 30 and 60 days before travel). Payments may be made in Colombian pesos (COP), US dollars (USD), or euros (EUR), depending on the agreement with the client. In some cases, payments may be made directly to the local provider.
Currency Conversion & International Transfers
Prices will be quoted in foreign currency (USD or EUR), unless otherwise agreed. If the client pays inCOP and Odylic must pay suppliers in USD or EUR,the applicable exchange rate will be the bank’s rate on the day of the transaction. International transfer fees and banking commissions will be included.. All rates are subject to currency fluctuations until full payment is received.
Modifications & Cancellations
Once the trip is confirmed,any changes will be subject to availability and may incur additional costs as defined by the providers.
Cancellations will be subject to the individual policies of each provider, as outlined in the proposal. Some services may be partially or fully non-refundable.
In the event of cancellation by the client without force majeure or justified cause (see section below), Odylic will retain 20% of the total trip cost as a non-refundable penalty, regardless of the cancellation date. This covers time invested in design, coordination, administrative costs, and commitments made with local partners. Any remaining balance—if applicable and permitted by suppliers—may be issued as a travel credit, subject to predefined validity and conditions. If funds are non-refundable but reusable, a travel credit will be issued under the same conditions.
Air Services
If international or domestic flights are included, they will be subject to the airline’s own policies regarding cancellations, changes, and refunds. Odylic has no control over these conditions and will act solely as an intermediary with the airline when applicable.
Cancellation Due to Justified Cause or Force Majeure
In exceptional and duly documented situations—such as pregnancy, death of an immediate family member, official border closures, natural disasters, health crises, or political conflicts preventing travel—Odylic will make every effort to negotiate changes or refunds with the relevant providers.
In these cases:
- A maximum penalty of 10% of the total trip cost will apply, covering non-refundable design and administrative fees.
- The remaining balance may be retained as a travel credit, subject to availability and supplier policies.
Odylic will act as an intermediary with providers but cannot guarantee outcomes or refunds, as these depend entirely on each provider’s contractual terms.
Documentation & Legal Requirements
It is the traveler’s responsibility to comply with all legal requirements of the destination (visas, vaccinations, exit permits, etc.). Odylic is not responsible for visa denials or any legal impediments to travel.
Luggage, Personal Belongings & Assistance
The client is responsible for their luggage, documents, and personal belongings. In the event of loss or damage, claims must be filed directly with the airline or relevant provider.
We strongly recommend that each traveler purchase comprehensive travel insurance appropriate to their destination and type of trip. If insurance is not obtained, the traveler assumes full responsibility for any medical, legal, logistical, or personal risks and costs that may arise.
Legal & Ethical Commitment
Odylic complies with all applicable Colombian laws, including:
- Law 300 of 1996 and its subsequent amendments (General Tourism Law)
- Law 679 of 2001 (protection against the sexual exploitation of minors)
- Sustainability and responsible tourism regulations
- Inclusion and non-discrimination policies

Acceptance of Terms
Acceptance of these terms constitutes a legally binding agreement between the client and Odylic S.A.S., and will be considered valid through any of the following:
• Partial or full payment of the trip
• Digital acceptance of the proposal
• Confirmation via email, WhatsApp, or any previously agreed written communication channel
